The short version: We collect only what we need to run the service. We never sell your data. When you cancel, we delete everything.
1. Information We Collect
Account Information
- Name, email address, phone number
- Business name, industry, service area
- Authentication data (managed by Clerk.com)
Call Data
- Phone numbers of callers
- Call recordings and transcripts
- Call duration, timestamps, and outcomes
- Appointment details captured during calls
Usage Data
- Dashboard activity and feature usage
- Agent configurations and templates
- Browser type, IP address, access times (standard server logs)
Payment Information
- Billing is processed entirely by Stripe. We never store your credit card number, CVV, or full card details on our servers. Stripe is PCI-DSS Level 1 certified.
2. How We Use Your Information
- Provide the Service: Handle calls, schedule appointments, generate transcripts
- Improve the Service: Analyze usage patterns to improve AI quality and features
- Communicate: Send service notifications, billing alerts, and support messages
- Billing: Process payments and manage subscriptions via Stripe
We do NOT use your data for advertising, sell it to third parties, or train general AI models with your business data.
3. Data Sharing
We share data only with service providers necessary to operate the platform:
- Vapi.ai — Voice AI processing and phone call handling
- Stripe — Payment processing
- Clerk.com — Authentication and user management
- Deepgram — Speech-to-text transcription
- ElevenLabs — Text-to-speech voice generation
Each provider processes data under their own privacy policy and in compliance with applicable data protection laws.
4. Data Security
- All data transmitted via HTTPS/TLS encryption
- Server access restricted to authorized personnel
- Authentication via Clerk.com with industry-standard JWT tokens
- Payment data handled exclusively by PCI-compliant Stripe
- Regular security reviews of infrastructure and code
5. Data Retention and Deletion
When you cancel your subscription:
- Your account, business data, call recordings, transcripts, contacts, and all associated data are permanently deleted within 30 days
- We do NOT retain your payment information (Stripe handles this independently)
- Backup copies are purged within 30 days
- You may request immediate data deletion by contacting us
6. Your Rights
You have the right to:
- Access: Request a copy of all data we hold about you
- Correct: Update inaccurate information via your portal
- Delete: Request deletion of your data at any time
- Export: Download your call history, transcripts, and contacts
- Opt out: Unsubscribe from marketing emails (service emails cannot be opted out while subscribed)

7. Cookies
We use essential cookies only:
- Session cookie — Keeps you logged in
- Clerk authentication cookie — Manages secure sign-in
We do not use tracking cookies, advertising cookies, or third-party analytics.
8. Children's Privacy
The Service is not intended for individuals under 18. We do not knowingly collect data from minors.
9. International Users
Data is processed on servers in the United States. By using the Service, you consent to data transfer to the US. For EU/EEA users, we process data under legitimate business interest per GDPR Article 6(1)(b) and (f).
10. Changes to This Policy
We may update this Privacy Policy periodically. Material changes will be communicated via email at least 30 days before taking effect.
